Khaos Control Cloud Setup Guide - System Data - Invoice Priorities

Overview

This page is intended to compliment the training you undertake to help you set up your Khaos Control Cloud for your business.
The Help menu is also available by clicking on the yellow question mark button in the top right of your screen or selecting Help from the navigation bar within any screen in the system. It’s context-sensitive and will display relevant information depending on where you are within Khaos Control Cloud. The information includes:
  1. A description of the main page you are using.
  2. Information on the fields within the current screen.
  3. A list of related videos which will guide you through important tasks related to the screen that you are on.

System Data

System Data is found under System Setup from the left navigation bar.
System Data controls the behaviour of your system and drop down menus. To enter any of the areas within the System Data grid double click its line.
  1. From within any area of system data you can enter edit mode via the green Edit button at the top of the screen.
  2. The information within system data can be changed at any time, however once it has been used it can no longer be deleted.
  3. Save any changes using the Save Screen button in the top right.

Invoice Priorities

This page contains the table of Invoice Priorities that will be used for Sales Orders generated by the system. Invoice Priorities can be used to highlight and filter in the [Sales Invoice Manager]. This allows you to process invoices that are of a certain priority separate from other invoices, for example same day delivery.

Once in edit mode you can add, change or remove values in the table.

Adding a new Invoice Priority

To add a new Invoice Priority:
  1. Click the Edit button.
  2. Click the + New button.
  3. Enter the values in the table as required - see field descriptions below.
    1. Description
      1. The name of the invoice priority, for example, Urgent, Delivery Date Required, Customer Collection.
    2. Mark
      1. The character(s) to be shown against a Sales Order in the Sales Invoice Manager grid that indicates the invoice`s priority.
    3. Highlight
      1. If ticked, then the mark will be in bold in the grid.
    4. Order Note
      1. The note to be entered automatically against the sales order when the priority is applied. It can either be added as the invoice or delivery note once the sales order is saved.
    5. Inv Note
      1. If ticked then the note will be added to the sales order`s invoice note, unticked it will add it to the sales order`s delivery note/picking ticket.
    6. Del Date Adj
      1. The number of days to be added or removed from the delivery date when the priority is applied to a sales order. The must be activated before it can be used by the system.
    7. Use Del Date Adj
      1. Activates the Del Date Adj.
    8. Disabled 
      1. Marks the invoice priority as being no longer active so it does not display when creating sales orders.
  4. Repeat steps 2 & 3 as required.
  5. Click Save Screen button.

Changing an Invoice Priority

To change an Invoice Priority:
  1. Click the Edit button.
  2. Edit the values of the record(s) you wish to change.
  3. When finished click the Save Screen button.

Deleting an Invoice Priority

To delete an Invoice Priority:
  1. Click the Edit button.
  2. Green select the line(s) you wish to delete.
    1. You can not delete an entry once it has been used - in this case the Disabled checkbox should be selected.
  3. Click the Save Screen button.
