Khaos Control Cloud Setup Guide - System Data - Stock Types Levels 3 & 4
Overview
This page is intended to compliment the training you undertake to help you set up your Khaos Control Cloud for your business.
The Help menu is also available by clicking on the yellow question mark button in the top right of your screen or selecting Help from the navigation bar within any screen in the system. It’s context-sensitive and will display relevant information depending on where you are within Khaos Control Cloud (KCC). The information includes:
- A description of the main page you are using.
- Information on the fields within the current screen.
- A list of related videos which will guide you through important tasks related to the screen that you are on.
System Data
System Data is found under System Setup from the left navigation bar.
System Data is a list of items that the rest of the system uses in its various screens to function. This is the area allows you to set-up your key central data, such as Customer Types, Tax Rates, Currency Conversions, Stock Types, etc. To enter any of the areas within the System Data grid double click its line.
- From within any area of system data you can enter edit mode via the green Edit button at the top of the screen.
- The information within system data can be changed at any time however once it has been used it can no longer be deleted.
- Save any changes using the Save Screen button in the top right.
Stock Types
Stock Types enable you to categorise stock items in up to four levels. This allows you to quickly locate and query stock items, add stock items to sales orders and aid sales analysis.
Level 3 and 4 Stock Types are optional.
Stock Types Level 3 (Mid Type):
This is the third stock type level to categorise stock types and is linked to a Level 2 Stock Type. It does not link directly to any stock items, but is used to group items. It is not used when using only three stock type levels as these would be 1, 2 and 4.
Adding a Level 3 Stock Type
To add a Level 3 Stock Type:
- Enter [System Data | Level 3: Mid Type].
- Click the Edit button.
- Click the + New button.
- Type the description of your Level 3 Stock type using the descriptions below for guidance.
- Description – The description of the Stock Types Level 3.
- Type – This will be the Level 2 Stock Type that this Level 3 Stock Type will be associated against. This field is mandatory if using Level 3 Stock Types.
- Repeat steps 2 & 3 for additional Level 3 Stock Types.
- When you have finished adding Level 3 Stock Types click the Save Screen button.
Editing a Level 3 Stock Type
To edit Level 3 Stock Types:
- Enter [System Data | Level 3: Mid Type].
- Click the Edit button.
- Change the descriptions of your Level 3 Stock Types as required using the above descriptions for guidance.
- When you have finished editing click the Save Screen button.
Deleting a Level 3 Stock Type
To delete Level 3 Stock Types:
- Enter [System Data | Level 3: Mid Type].
- Click the Edit button.
- Green select the Level 3 Stock Types you wish to delete.
- It is not possible to delete a Level 3 Stock Type if there is a Level 4 Stock Type associated with it. Remove or delete the 4 Stock Types association(s) before proceeding to delete the Level 3 Stock Type.
- When you have finished deleting the Level 3 Stock Types click the Save Screen button.
Stock Types Level 4 (Sub Type):
This is the fourth stock type level used to categorise stock items and links to Level 2 & 3 Stock Types. If using three levels, this is the third level and will link directly to a Level 2 Stock Type.
Adding a Level 4 Stock Type
To add a Level 4 Stock Type:
- Enter [System Data | Level 4: Sub Type].
- Click the Edit button.
- Click the + New button.
- Enter the details of your Level 4 Stock type using the descriptions below for guidance.
- Description – The description of the Level 4 Stock Type .
- Type – This will be the Level 2 Stock Type that this Level 4 Stock Type will be associated against. This field is mandatory if using Level 3 Stock Types.
- Mid Type – This will be the Level 3 Stock Type that this Level 4 Stock Type will be associated against. When using this field you MUST fill in the Type field first.
- Repeat steps 2 & 3 for additional Level 4 Stock Types.
- When you have finished adding Level 4 Stock Types click the Save Screen button.
Editing a Level 4 Stock Type
To edit Level 4 Stock Types:
- Enter [System Data | Level 4: Sub Type].
- Click the Edit button.
- Change the descriptions of your Level 4 Stock Types as required using the above descriptions for guidance.
- When you have finished editing click the Save Screen button.
Deleting a Level 4 Stock Type
To delete Level 4 Stock Types:
- Enter [System Data | Level 4: Sub Type].
- Click the Edit button.
- Green select the Level 4 Stock Types you wish to delete.
- When you have finished deleting the Level 4 Stock Types click the Save Screen button.
